Stop Losing Clients Before They Have the Chance To Change

If you run a therapy practice, you’ve probably experienced this: Clients attend a few sessions and then drift away. In order to keep therapists’ calendars full, you need to keep ramping up your marketing efforts.
Common challenges include
01
Clients attend the initial consultation, but don’t book a follow-up session
02
Therapists struggle to maintain momentum after the first few sessions
03
The rapport is good, but there’s vagueness about where the therapy is going
04
You’re seeing a pattern in your practice of clients booking sessions irregularly, rather than at regular, agreed upon intervals
The costs of low client retention are real:
  • Clients don’t get the outcomes they desire
  • Practice revenue decreases
  • Marketing costs increase
  • Therapist morale and confidence takes a hit

The Client Retention System

When I opened my clinic in 2021, my growth plan was simple: get leads, convert them, repeat. And honestly, this helped me build my group practice...until we started to plateau. I was investing so much into marketing, only to see our hard earned clients drift away. I created the Client Retention System after analyzing when the clients were dropping off, how the therapists were communicating to the clients, and experimenting with different variables until I came up with a method that got us real results.
You’ll learn practical strategies for:
  • Helping therapists collaborate on a treatment plan and get commitment about the process
  • Structuring early sessions effectively so that clients want to keep coming
  • Booking multiple, regular sessions in advance with clients
  • Addressing common retention challenges before they lead to dropout
Therapist speaking in a session
I’ve taught these retention methods to dozens of therapists and group practice owners, and the feedback is consistently the same: “I can’t believe how well this works.” That’s why I’ve taken the methods I’ve been coaching therapists in for years and created The Client Retention System — to give you the tools that lead to clients booking in for repeat sessions, not because they feel pressured to — but because they want to.

Why This Program Is Different

Woman reading a book on a sofa
Most coaching for group practice owners focuses on systems and marketing. Most training for therapists focuses on specific models. This is the only program that specifically (and thoroughly) addresses a known pain point in the field of psychotherapy: clients who start therapy, and then drop off before they have a chance to experience meaningful change. Client Retention System goes into depth into the foundation of good client retention, using a signature 4-pillar method to guide therapists on how to effectively communicate and collaborate with clients around commitment and change.

What makes it effective

  • Focuses on the critical early stages of therapy where dropout often occurs
  • Combines clinical skills with practical systems
  • Designed for easy implementation, with the client-therapist relationship at the forefront
  • Built from real-world experience as a therapist, group practice owner, and clinical supervisor
The goal is not just to teach ideas, but to provide practical systems and strategies that therapists can actually implement.

What Therapists Are Saying

Read what therapists and practice owners are saying about the program and how it has impacted their approach to retention.
Elana has an incredible way of blending solid business strategy with deep clinical integrity, helping me think about retention in a way that genuinely supports continuity of care while staying fully grounded in my professional guidelines. Her approach to client retention is thoughtful, ethical, and always client centered and care driven. Her insights and guidance are thought provoking, and I always leave feeling grounded, confident, and empowered.
I can’t recommend this enough to any group practice owner, whether you’re leading a large group or just starting to grow. It’s been incredibly impactful for our associates and the overall culture of our practice. So many therapists feel awkward, even guilty, about working on retention and encouraging clients to book ongoing sessions. Elana completely shifts that mindset. She helps you see that supporting clients and committing to the work isn’t salesy or self-serving, it’s clinically sound and deeply supportive. This changed the way my team approaches retention, and it’s made a real difference.
Elana has a particular knack for zoning in on key performance and client retention issues. Being a relational therapist, she knows the importance of maintaining attunement, repairing ruptures, and following up with clients without being intrusive. I recommend this program to any individual therapist or group practice owner who wants to identify where they struggle and learn how they can improve.
As a Group Practice Owner, client conversion and retention is a regular metric that we are evaluating. Discussing the metrics with the team has been a steep learning curve. Elana’s Client Retention program has helped the therapists have productive conversations that have led to positive outcomes. Her videos and templates provide client-centred language that support clinician discussions with clients around the treatment course. The clinicians have introduced bridging between sessions and booking clients in at the end of each session to continue the therapeutic process. Some clinicians have initiated booking a treatment course (8-12 sessions) with new clients. I would highly recommend this program to all clinicians in private practice and to Group Practice Owners.
After bringing Elana's Client Retention System into the clinic, one of our therapists shared that they were seeing better client follow through and more consistency in sessions. It did not feel forced or overly structured, just a natural way to stay more connected with clients and support their progress. What I appreciate most is how practical and easy it is to use. It fits into real clinical work without adding extra pressure, and it helps create a more consistent experience for clients across the practice. I would absolutely recommend Elana’s system to other clinic owners who want to strengthen client retention in a way that feels genuine, sustainable, and aligned with good care.

Hey, I'm Elana. Let's make this work.

I'm a therapist turned group practice owner. I used to think "business stuff" lived in a totally different universe than good therapy. When I opened my clinic, I assumed that business success was mostly about marketing — until I realized the biggest predictor of my clinic's performance was what happened after a client booked that first session.
I wanted to run a practice in which clients stayed long enough to actually benefit from therapy. I saw how often therapeutic work gets derailed by inconsistent attendance, early drop-off, and lack of clarity at the outset. Now I mentor therapists and group practice owners on the part no one really trains us for: how to ensure client commitment and buy-in early on, without getting salesy or transactional. I built The Client Retention System to share the strategies I use in my own practice and clinic to support follow-through, steadier caseloads, and better outcomes.

Frequently Asked Questions

  • Who is this program for? +
This program is designed to help therapists in solo or group therapy practices make measurable differences to their client retention and average number of visits per client. Group therapy practice owners often purchase my program to use as part of their onboarding and ongoing resource stack, so that the therapists on their team receive impactful, relevant, and relationally focused training on client retention.
  • Can therapists in solo practice benefit, too? +
Yes, absolutely! The content speaks directly to therapists. Whether you’re part of a clinic or in solo practice, your aim is to have a calendar that’s as full as you want it to be, so that you can stop the hustle for new leads. That’s precisely what this program aims to help with.
  • How long does the program take to complete? +
Some therapists have completed the entire program in one day! Most people go through it it in smaller chunks, usually taking a couple of weeks to go through the content. But this content is also designed to come back to when you need a refresher: before a first session, when you feel unfocused in your work, or when you need the words to invite a client to book.
  • I’m a clinic owner. How can I use this with my team? +
This program is best when used with intention. It can be a great addition to your new therapist onboarding process, as well as a valuable asset when you have identified an underperforming therapist on your team. Rather than just sending your therapists the link, sit with them to identify their retention leaks and goals for improvement. Following your purchase, you will receive a set of emails that provides specific guidance on how to roll this program out with your team.
  • I have a large team. Can I try this out with just a few people first? +
You can choose whether you want to purchase access for your entire team, or just the people who need extra support with retention. You will select the number of seats at checkout. If your team is larger than 10, it makes the most sense to purchase this program at a flat rate so that everyone in your team can benefit at the most economical rate.
  • How can I make sure the therapists on my team are actually using this? +
Accountability is everything. We all know what it’s like to start an online program, just to abandon it halfway through because nobody is checking. When you make a group order, you'll receive access to a team dashboard where you can check your team members' progress. Additionally, I recommend that group practice owners hold a weekly or monthly ‘peer accountability’ meeting for therapists who are accessing this program to encourage discussion and hear about how people are applying the content to their work.
  • What kind of return on investment can a practice expect? +
The math maths. Even a small improvement in client retention can make a meaningful difference in your revenue. For example, if just one therapist retains one extra client per month who continues for 4–6 more sessions, that can represent a significant increase in revenue over time. Similarly, if just one therapist increases their client average number of visits even slightly, that also represents a significant increase in revenue over time. Multiply that across several therapists, and the program can pay for itself quite quickly.
  • Do you offer flat rates for large clinics? +
Yes! Clinics that have 10+ therapists are eligible for a flat rate, starting at $2500.
